Minutes

Reading of Minutes from APGM 2001

The minutes from the APGM 2001 were read and accepted with unanimous vote.

Presentation of Committee for 2000

The Club Committee officers elected during the year 2001 where presented and their priceless involvement in the CERN Softball Club acknowledged.

Presentation of Activities for 2001

The Activities for 2001 where described and reviewed.

Preparation for the 2001 season took place in April, when Mission Field was put back into working condition.

The GSL regular season was disputed between June and September 2001 and a good attendance was observed.

The activities of the CERN Softball Club were very well described in the CERN Vitrine from 1 until 22 June 2001.

Thanks to the efforts of several Club members, the Higgs Field was put in excellent working conditions, ready to host the Bernie Tourney during the 4-5 July period, when a big party was held to celebrate the event.

The new Boson Chalet construction took place during the month of October 2001. The Chalet is now operational and used to store the equipment of the club, together with the garden box installed last year.

The Awards Banquet took place at the Cafe Ariana on 23 November 2001.

The Public Relations Officer reported on the necessity for a better scheduling of events, to be organised more regularly and avoiding clashes with other minor events (such as the 2001 "Fete de Geneve", whose committee chose the same weekend appointed for the Bernie Tourney: this may explain the lack of publicity hype). Also, some new contribution schemes and setup procedures will have to be implemented for the pre-during-post games BBQs, to facilitate payments, provide on-the-field supplies and improve attendance.

The Recruitment Officers reported on the good sales of the new T-shirts, with several items left for next year.

The Treasurer, overwhelmed by the big amount of bills generated by the Higgs Field renovation and the Boson Chalet construction, requested a better procedure for submitting bills to the Club.

Presentation of Accounting for 2001

The Accounting for 2001 was presented and accepted with unanimous vote. The exceptional subsidy of 5000 CHF from the CCC helped to install the new Boson Chalet. The club matched 2500 CHF of this from its own budget. In addition, there was a 1500 CHF Subvention for Higgs Field (also from the CCC), 1310 CHF of Membership Dues (a club record) and the good sales of Shirts & Caps. The overall balance was in deficit by 3416.80 CHF, mostly due to expenses for Higgs Field infrastructure and the Bernie Tourney and due to the fact that no Hardronic Festival took place last year (typically, the club brings in 1000 CHF from Hardronic beer sales). Some negligible funds (around 30 CHF) were spent to deliver old equipment to an emerging Softball team in Sofia. The Commitee thanked the Treasurer for the exceptional work done during such a busy year.

Election of Committee for 2002

Committee elections were held. The CERN Softball Club Executive Committee for 2002 shall be:

The new committee took place. The position of Higgs Field Officer received no nominations. The decision was taken that, in the absence of a qualified volunteer, the President will coordinate this activity by appointing the Coaches to the individual tasks as needed.

The position of Webmaster also received no nominations. Again, in the absence of a qualified volunteer, the President and Vice-President will coordinate the activity.

Appointment of Coaches:

Coaches will be appointed and elected by the two teams. The President will coordinate the election procedure.

Planning of Activities for 2002

Activities for 2002 were reviewed and planned.

Spring preperation of the Higgs Field will start as early as weather permits. Some re-positioning of the bases will have to take place, to avoid possible collisions between runners heading home and the backstop fence. Also, some more permanent supports for the bases will have to be installed. The exiting PR Officer proposed the installation of a permanent bleachers at the Higgs Field: the proposal was analyzed and shall be reviewd by the next Committee.

The Mission field will need the usual Spring cleaning procedure as soon as the weather settles. Members of the CERN Softball Club are requested to participate actively in the event.

The CERN vitrine will be made available to display the activities of the CERN Softball Club for the period 21 June - 5 July 2002.

Some new publicity channels should be open, possibly with the English-speaking community in Geneva. The PRs Officers will contact WRG on this matter.

Planning of Accounting for 2002

Accounting for 2002 was proposed and reviewed. No particular request will be advanced to the CCC. Requests may be advanced to Sport Toto in early Spring (deadline: 28 February).
